1 – Approval of the September 4, 2013 Minutes – Mónica

John W. moved to approve the minutes of September 4, 2013.  Jackie seconded the motion.  All were in favor, the motion passed.

The September 4, 2013, minutes were approved.

2 – Open Forum/Presentation by President Carruthers – Mónica

Mónica reminded the Council of the Presentation by NMSU President Carruthers (3:00 p.m.-4:00 p.m.) and the Executive Team Open Forum (4:00 p.m.-5:00 p.m.) on October 10 in the Auditorium.

3 – Structure of DACC Awards/Events – Ike, John W.

Ike noted the Celebration of Student Excellence & Leadership will be held on December 4, 2013, and will include the students with the Crimson Scholar designation while the Academic Scholars Reception will be held on April 25, 2014.  This will create one big event in the fall and a smaller event in the spring.  There will be one Dual Credit Recognition Ceremony to recognize Gadsden students.  It will be held at the Gadsden High School.  Las Cruces will recognize their dual credit students at their high schools. 

Faculty and staff awards will include the Teamwork Awards at fall convocation, Stars of Excellence at spring convocation and the Service Recognition Ceremony in May 7, 2014. 

This year, as part of our 40th Anniversary, Kristi noted the donor dinner would be combined with the 40th Anniversary President’s Legacy dinner.  This has not been finalized and it may not happen due to high cost.  She will update the Council as plans are finalized. 

John W. noted the nomination process for the Stars of Excellence would remain the same.  The timing will be different.  He will send out an email mid to late October.  Bernie asked why this had been changed.  Mónica noted this would add to the celebration.

4 – Early College High School Update – Mónica, Ike

Mónica noted a lot of activity on the Early College High School – some internal, some external and some within the community.  There will be three things the college will look at: 1) academic integrity, 2) logistics, and 3) resources.  Mónica noted Andy knew how complicated the initiative is for us.  Evelyn noted it’s primarily curriculum issues.  Mónica noted a meeting with a huge group would be held on October 11.  Becky noted they were getting ready to advise the 2014-15 co-hort which will have challenges. Brad and his group have been great in helping.  Brad noted they have a planning meeting set for Monday with Arrowhead folks as well as NMSU folks.  He asked about a tentative schedule be given to them a month in advance for planning.  Becky also noted they were working with regular dual credit students.  Ike stated even with the challenges, the group was recognized at convocation.  They have done a really good job.  Ike thanked Brad, Becky, and the Deans. Bernie asked about resources to give to Brad to advise these students as the division advisors have been taking on additional loads.  Ike noted we all were doing more and everybody is working hard.  The students are still from each division at the college.  This is a shared responsibility.  More faculty could be involved.  Bernie noted in the past, temporary advisors were used.  Ike noted Brad still hired temp advisors.  Mónica noted Andy really wants to get ahead and so far we have been running alongside.  He is laying the groundwork to get there.  Mozella asked if dual credit was NMSU or DACC.  Ike answered dual credit was DACC.  It’s everyone’s depending on who you ask.  A small discussion followed on growth in enrollment and no growth on faculty and staff.  Lydia noted enrollment is not growing but it is shifting.  We are all down.  It’s reallocation.  Faculty is responsible for advising and division advisors do a fantastic job.  We all need to work closely.  Brad noted this required a new way of thinking.  There is one ECHS and 3 in the cue with possibly more.  Ike is proud how DACC accommodates.  Programs have been flexible with logistics being time intensive.  We need to make sure we are not sacrificing resources.  We need to make sure we are balanced.  Mónica noted an update would be given at the next meeting.

5 – Encourage Students to Complete Degree Applications – Mónica

Mónica noted there are some institutions that mail degrees once the student has met requirements.  This college can develop a publicity campaign to encourage students to complete degree applications.  She will work with Ike on a campaign to heightened awareness.

6 – Program Review Update – Mónica

Mónica noted Andy has been moving toward program review; an academic program review. It will allow the college to take a snapshot of what’s going well, what needs intervention.  Andy generated a matrix to include faculty ratios, cost for SCH, etc.  There will be other things to look at.  Mónica noted some sort of pilot would be implemented and we should have a draft of the process/procedure in place by the end of the fall.  Mary Beth noted she needed help from the division deans as the codes have changed.  Mónica noted more information will be made available.  A small discussion followed.

7 – HR Updates – Mack

Mack noted PeopleAdmin has a new version which will roll in faculty.  During the transition, there will be a two week moratorium on postings.  He asked for everyone’s patience as his staff is trained and the old system is wrapped up and the new system is up and running.

Mack noted the new hiring process was being worked on.  There will be a process for faculty and one for staff.  The process will be standardized with slight differences due to grade level.  Mónica noted the process was taken to the division deans and directors.  It will be taken to ALT next and should be finalized within the month.

8 – DACC Advisory Board Update – Mónica, Ike

Mónica noted last Thursday night the DACC Advisory Board held a meeting with the Operating Agreement as the main topic.  There was language the Board wanted to include to clarify the relationship.  The Agreement will go to the Board of Regents for their approval.  Ike added the Agreement included formation of an Operating Committee made up of 2 Regents and 3 Board members.  Andy presented as well as Mónica and Ike.  Ike noted he gave the Board an update on QuickConnect.  Gladys noted 300 contacts had been made.  Mónica added this was an easy system to use and that any sector of the college can volunteer.  Ike noted a graduate intern has been making calls to students who have withdrawn from DACC to find out why.  Ben has also been making lots of calls.  Kudos to Ben.  Ike also updated the Board on the Freshman Orientations and the ECHS.  It was a very productive meeting.

9 – Student Survey-CSSE – Mónica, Ike

Mónica noted for HLC purposes, the CSSE is due again.  She had discussion with Mary Beth about a Fall 2014 SENSE survey.  The college has not done anything to access student services.  Brad has done surveys for students who are advised.

10 - Announcements

Vickie solicited calls for proposals for Community Education.  If you are interested in teaching, please let her know.

Kristi noted the October 25 Golf Tournament.  Please contact her if you are interested in playing.  She brought posters for anyone who is interested.  Kristi thanked everyone for their help.

Evelyn noted the Candidacy Presentation for Nursing was sent to NCEN (formally NLNAC).  The college should receive notification by the end of October, beginning of November.

Evelyn also noted the Chambers want training in school safety and violence in the school setting.  Fred O. added he is working with the LC Chamber to do a workshop series for the members (free to members) beginning in January.  Fred O. noted Lydia use to do these workshops.  He is looking for instructors to do time management and HR for non HR managers.  If you are interested, please let him know.

Tony thanked everyone for their patience.  They are 90% done on the central campus roof.  They are also working on fixing the leaks at East Mesa.

Saundra asked to go back to ECHS.  She does not hear a lot about DACC involvement.  DACC should be at the forefront.  A small discussion followed.
